Notice of 2019 AGM for Croydon Parish Players
Dear Members of CPP,
What a year’s it’s been for our group! And, in just a few weeks, on Tuesday the 12th of November, Croydon Parish Players will hold its last AGM, and this will be directly followed by the first AGM of CPP Community Theatre Inc. (Further details regarding time and location of our AGM can be found at the bottom of this email).
In accordance with the Rules of Association, all nine general committee positions will be open for nomination, plus the Chair. While a number of our current committee members will be renominating to remain on committee, these positions are in no way a given. If we have more nominations than positions available, a vote will be taken at the AGM and all nominees will have a chance to be voted onto committee, regardless of their current involvement. As I said, “a number” of our current committee will be renominating, but some will not. In particular, I will not be renominating for the position of Chair, and both Don Marsham and Mark Collard have also chosen not to renominate at this time. Although Mark’s position was on general committee, he has been our Treasurer for a number of years, and this position now requires someone to step up who will have the skills to fill this important role. Mark has also graciously offered to give plenty of assistance to the new treasurer throughout the coming year.
Each committee term is normally 3 years, and in order to adhere to the Rules of Association, these roles are staggered so that not all positions will come up for nomination at the same time. In order to set the ball rolling on this, at our first AGM in November, the following terms will be available:
The Chair term is 2 years, and therefore there will also be one 2-year Chair term up for nomination.
This is a great opportunity to put your hand up, come on board and help shape the group as we move forward, and I’d like to encourage all of you to think about how you might like to help personally. Being on committee is extremely rewarding and also fun, but it is also a serious commitment. Meetings are full of discussion about exciting things, but there is also a lot of meaningful thought and day-to-day business to manage, and this can only work if each team member is responsible for their roles and able to give time, effort and expertise. At the moment, the committee is run through 10 portfolios, which would ideally mean one portfolio per committee member. Portfolios are discussed and distributed in the first one or two committee meetings of the year. While much of the committee work is shared among the group, it’s essential that all members contribute in a meaningful way, and that the portfolios can be distributed equally.
The current portfolios are:
* Secretary (incl. taking and distributing minutes of committee meetings and AGM, managing correspondence between committee, members and external contacts)
* Treasurer (incl. managing the group’s finances, preparing budgets)
* Digital Marketing (incl. social media, website management, heading up Publicity)
* Print Marketing (incl. organising flyers, programs, hoodies and anything else that is printed)
* Operations (incl. audition admin, Handbook management, performing rights, ticketing set up etc)
* Archivist (incl. archiving past productions’ photos, flyers etc. manually and in our digital archive register in Dropbox)
* Membership (incl. organising mailouts, maintaining our Membership Database, distributing lists when required)
* Fundraising (incl. researching and organising fundraising activities, and heading up the Fundraising subcommittee)
* Facilities Management (incl. booking and liaising with all venues incl. factory and performance venues - this position is performed by the Chair)
* Asset Management (incl. managing costumes, sets and props, maintaining our asset register and overseeing hiring of our assets)
As I said, there is a lot more to committee than managing these portfolios, but these are the bare bones of what needs to be done throughout the year, so I’d love all members to have a look through this list and think about how you can contribute. All nomination forms need to be received by our secretary no later than 5pm on Friday, 8th of November.

We will also be distributing the new proposed constitution in the next week or so leading up to the AGM, so that it can be ratified on the night.

Croydon Parish Players and Croydon Uniting Church will be coming together for a service to celebrate our 63-year union. As we start on a new journey with the creation of CPP Community Theatre Inc, it's important to acknowledge and celebrate our roots. Our very own Croydon Parish Players choir will also be performing at this service.

It’s Sense and Sensibility as you know it, but with an energy and pace not previously seen.
